BOOKING POLICIES AND PROCEDURES
Once you have selected your desired scuba diving activity, you can either book directly through our website or contact us via email or WhatsApp for assistance with your booking. We will then send you a link to our customer portal via email, where you’ll find all information about your booked trip, including the invoice, payment details, and a check-in form that we kindly ask you to complete as soon as possible.
In the customer portal, you will also be able to sign a waiver required for participation in the diving activities.
A 50% deposit of the total trip price is required if booked more than 4 weeks in advance. For bookings made less than 4 weeks before departure, full payment is required to guarantee your booking.
Upon receiving the 50% deposit (or full payment), we will send you a written confirmation via email.
Please ensure that at the time of booking, you are familiar with and adhere to the specific country requirements for passports, visas, inoculations, etc.
PAYMENT TERMS
Deposit: A 50% non-refundable deposit is required to secure the booking. You can reschedule the trip up to 1 year after the original date, subject to availability. The credit cannot be transferred to another person.
Final Payment: Due 30 days before the scheduled trip. If the payment is not received on time, the booking may be canceled, and the deposit will be kept.
Special Conditions:
For expedition liveaboard trips (9 days or longer) or Christmas and New Year’s trips, full payment is required at least 60 days before departure.
For Divemaster Courses, full payment is due 30 days before the course starts.
Last Minute Bookings: Special offers require 100% payment within 24 hours of booking.
Failure to make the final payment by the due date may result in cancellation and loss of deposit, with SCUBA REPUBLIC INDONESIA reserving the right to resell the activity.
CANCELLATION TERMS
Standard Cancellation: Cancellations more than 90 days prior to departure are refundable, minus an administrative fee of 100 USD, plus any bank fees and exchange rate losses.
Non-refundable Cancellation: No refund will be granted for cancellations made less than 90 days before departure.
No refund will be provided for cancellations made less than 90 days before the departure of expeditions in Indonesia (9 days or longer), Christmas and New Year’s trips, and Divemaster Courses.
Cancellations must be submitted in writing via email to info@scuba-republic.com. Cancellations via telephone, SMS, or chats will not be accepted. For cancellations to be valid, they must be acknowledged in writing by Scuba Republic Indonesia via email.
FORCE MAJEURE
SCUBA REPUBLIC INDONESIA is not liable for cancellations or modifications due to force majeure events, including but not limited to natural disasters, pandemics, political instability, or other unforeseen events beyond our control. If the trip cannot be conducted due to such circumstances, we will work with you to reschedule your trip to a later date, subject to availability.
Please note that rebooking under this policy is only possible if the trip cannot proceed due to the force majeure event. No refunds will be granted under these conditions.
TRAVEL INSURANCE REQUIREMENT
All guests are required to have travel insurance that specifically covers scuba diving activities. This insurance must provide coverage for any incidents related to diving, including potential medical emergencies.
In addition, we strongly recommend that guests obtain comprehensive travel insurance that also covers trip cancellations, delays, and any unforeseen events beyond our control, such as natural disasters or other force majeure situations.
Please note that SCUBA REPUBLIC INDONESIA does not provide refunds or compensation for cancellations due to force majeure, and rescheduling is only possible if the trip cannot proceed under such circumstances. Adequate travel insurance will provide you with essential protection and peace of mind throughout your trip.
HEALTH REQUIREMENTS AND MEDICAL FITNESS
Guests must be in suitable health and physical condition to participate in scuba diving activities. SCUBA REPUBLIC INDONESIA reserves the right to request a medical clearance from a certified doctor if deemed necessary. Guests are responsible for disclosing any pre-existing medical conditions that could affect their ability to participate in diving activities.
DIVING CERTIFICATION AND EXPERIENCE
All divers must hold a recognized diving certification (e.g., PADI, SSI) and provide proof of certification upon request. Some dives may require advanced experience, and our instructors will evaluate each guest’s suitability for specific dives.
ALCOHOL AND DRUG POLICY
For safety reasons, the consumption of alcohol or use of recreational drugs is prohibited before any diving activities. SCUBA REPUBLIC INDONESIA reserves the right to exclude any guest from diving activities if they appear impaired.
WEATHER AND ENVIRONMENTAL CONDITIONS
Please note that weather and sea conditions may affect the planned itinerary. SCUBA REPUBLIC INDONESIA reserves the right to modify the route or cancel certain dives if conditions are deemed unsafe. Refunds will not be provided for itinerary changes due to environmental factors.
LOSS OR DAMAGE OF PERSONAL PROPERTY
SCUBA REPUBLIC INDONESIA is not liable for any loss or damage to guests’ personal belongings, including diving equipment. We recommend securing personal travel insurance that covers lost or damaged items.
DIVE LIMITATIONS AND DAILY MAXIMUM DIVES
Guests can participate in a maximum of 3-4 dives per day, subject to sea conditions and dive site accessibility. Our instructors may impose depth and time limitations based on the individual’s certification and experience level.
LIABILITY WAIVER
All guests are required to sign a liability waiver before participating in any diving activities. This waiver releases SCUBA REPUBLIC INDONESIA from responsibility for injuries, damages, or accidents that may occur during diving activities or onboard.
MINORS AND CHILDREN
Children under the age of 18 must be accompanied by a parent or guardian. The guardian is fully responsible for the child’s safety and behavior onboard and during all activities.
PHOTOGRAPHY AND MEDIA USE
By participating in SCUBA REPUBLIC INDONESIA’s programs, guests consent to be photographed or recorded for marketing purposes unless a written objection is provided.
FULL CHARTERS
These trips cannot be canceled as SCUBA REPUBLIC INDONESIA has accepted your commitment to fill the entire boat. If individuals under the charter cancel, it is the responsibility of the person chartering the boat to find replacements.
For charters, a 50% deposit is required to reserve the boat, with the remaining balance due 12 weeks before the trip. Cancellations are not allowed within 12 weeks of the scheduled departure.
UNUSED SERVICES
No refund or compensation is due for any unused training or trip portions. Guests who do not complete training or trips for any reason are not entitled to a refund for a portion of the total cost.
DATA PROTECTION AND PRIVACY
Sensitive information such as credit card data is encrypted and transmitted securely online. You can verify this by looking for the “lock” icon in the browser address bar or checking for “https” in the URL. Offline, your personal data is protected, and only authorized personnel (e.g., billing or customer service staff) have access to it. The data is stored in a secure environment and will not be shared with third parties without your consent.
EQUIPMENT DAMAGE AND LIABILITY
Customers are responsible for the proper use of diving and water sports equipment provided by SCUBA REPUBLIC INDONESIA. Any damage or loss of equipment resulting from negligence will require full compensation at the current market value.
